Effective September 8, 1997, the following policy will be effective in the Hamilton County Auditor’s Office for HIGH VOLUME PER VISIT USERS of the Transfer counter.
- Individuals presenting more than five transfers at any one time, or five or less transfers totaling more than ten parcels, will be required to leave completed conveyance forms and executed deeds at the Auditor’s Transfer counter. Individuals will be required to submit documents and provide a telephone number at which they can be contacted. Payment will not be accepted at this time. Individuals will be given a receipt stating the date, time and number of instruments presented for transfer.
- Instruments submitted to the Transfer counter prior to 8:30 a.m. will be Transfered for adherence to requirements outlined in the newly adopted Transfer & Conveyance Standards and submitted to the Hamilton County Engineer’s Office by noon that day. Under normal circumstances the Hamilton County Engineer’s Office should complete its validation of simple transfers by 4:00 p.m. and the documents will be ready for transfer by 8:30 a.m. the following day. More complex transfers may take longer. Instruments submitted to the Transfer counter after 8:30 a.m. will be submitted to the Engineer’s Office by noon the following work day.
- Immediately after receiving validation of legal descriptions by the Hamilton County Engineer, the Auditor will notify by telephone the individual who submitted the instruments or that individual's designee. The individual will then take the instruments to the Auditor’s Transfer counter for payment and final processing.
This policy is being adopted to reduce the time individuals must spend in the Transfer area. It also provides an incentive for customers of the office not to wait until they have a multitude of transactions before commencing the transfer process on any of them. This new procedure allows our staff to conduct the more thorough review of documents required by the newly adopted Transfer & Conveyance Standards and maximize efficiency within the Department.
